Fundraising Pack Volunteer Nepal

If you are reading this pack we can only assume that you are thinking of supporting Volnepal through a fundraising event - thank you!

Events are a great way to lend your support to our medical emergency work. They not only help us to increase awareness but events also raise money for our work, which is very important - we can only do the work we do because of the independence that your support brings us.

As a non-salary organization we maintain only a small, strictly volunteer fundraising team, therefore Volnepal does not organize fundraising events. However, many of our supporters choose to support us through organizing their own event. In the past Volnepal has benefited from bake sales, concerts, sponsored runs, and weddings, just to name a few!

If you wish to discuss your event/ideas contact Anish Neupane by email :

Start Small
The best way to maximize the amount you raise is to keep costs and risks to a minimum. If you try and organize a large dinner/dance or ball there will be associated costs such as catering, venue and entertainment that will all have to be paid for out of the ticket price. It is quite possible that after all this is deducted the amount raised will be the same or less than that from a far simpler event such as a sponsored bike ride.

Set Up a Website
Setting up a fundraising page is a great way to support Volnepal. Your page will help to raise awareness about the work of Volnepal, and your friends, family and colleagues around the world can donate to Volnepal with the click of a mouse. It couldn't be simpler to set up, just visit www.chipin.com, and then follow the instructions on the screen. It takes about 5 minutes and you can make your page as simple or personalized as you like by adding photos, writing text, adding hyperlinks, and even changing the background color. You can also add on any amount that you have received offline from people without Internet access so you can keep a total of exactly what you have raised.

Why?
1. It makes life easier - donations to your fundraising page can be made automatically.
2. It's safe - Chipin offers a totally secure service through its partner PayPal.
3. It's fun - you can build a fundraising page for any event, and edit it at any time.

We can provide pdf. versions of our posters, brochure, newsletters, and an electronic copy of our logo. Please contact us for any of the materials above: info@volnepal.np.org

Find a Venue
Try and hold your event somewhere that will not require you to pay such as a house / garden, or a park. If you do have to hire a venue make sure you book early. Also try to get a reduced rate as it is for charity. You could try sports centers, community centers and halls.

Work out a budget
Set your fundraising target and remember that anything you spend comes off that total. Try to keep costs as low as possible; ask for freebies from friends or maybe local businesses in return for advertising at your event.

Advertise
The more people that you involve the more money you will raise. Contact local radio and TV stations and weekly newspapers. Give them contact details to print in case anyone who hears about your event wants to contribute. Ask all your friends, family and colleagues to tell their friends; remember that word of mouth is the best advertising.

Sponsorship Tips
- Put your most generous sponsor at the top of your form. It may encourage others to give more.

- Give out forms to friends and family - get them to do the work for you! This will increase the potential sponsors dramatically.

- Send out emails and letters to those people you will not see. Emails are a great way to reach a lot of people easily and cheaply and you can put in a link to your Chipin page.

- Consider writing a letter as well; people often find that emails get put into the 'to do' category and then forgotten. A letter is a physical reminder for people. We can help with information about our work to put into your letters/emails, as well pictures that can help make it stand out a bit. Also put in a link to your Chipin account.

Matched Giving
If you are organizing a fundraising event ask your employer if they operate a matched giving scheme.
Lotteries
The rules regarding raffles and lotteries change depending on the size and regularity of the event. Be sure to check the local all local regulations for such fundraisers.

If you have any questions regarding the legality or suitability of your fundraising event please contact us to discuss the situation.

Fundraising in Action
Concert For VNNG in Germany

Interview with Eva 2009 July Volunteer from Germany:

How old are you?
17 years old

At such a young age what made you decide to get involved in a fundraising like this?
I was very interested in doing something proactive in Nepal, so I joined a group through our student center in school. From there a group of four friends and I decided to do something radical to raise awareness and funds.

How did you decide what to do?
We all pooled our creativity, I was good at art the other musicians so we thought why not put together a concert to promote VNNG in the school. To be honest it didn't even seem like fundraising we really enjoyed the project.

How did you manage to raise such a large amount of money?
We organized the event through the school, a type of cultural day. This allowed us to get everyone in the school involved. From there we did bake sales and other small events throughout the year at school.

Any top tips for other fundraisers?
"Exploit as many different sources of funding as possible. Advertise what you are doing in as many places as possible, try and get generate interest. Do something a bit different and have fun doing it. Also organization is key, things can get pretty confusing with money coming in from different sources and getting everything ready for the event."

Would you do it again?
Yes, it has been amazing to know you truly made a difference. It was so much fun to see everyone enthusiasm to help, I would really encourage everyone to try something like this at least once in their lives.

Can I have a letter of confirmation?
Acknowledgements are sent out to all our supporters. If you have any special requirements please contact: Anish Neupane

Do you have some Volnepal statement I can put in my publicity material?
Our website is the best place to look for information for you to use in your publicity material.

Can I use your logo?
Yes, please contact us for the high res version of the logo.

Can you help me publicise my event?
We do have some materials that may help you with your event however as we are a small organization we are limited on what we can provide. We suggest you get creative through email campaigns; this will limit printing cost and allow you to reach many people in seconds.

If I am taking part in an overseas event (Trail Trek, Cross country trek, etc) can I use sponsorship money to pay for the cost of the trip?
It is OK to do this and we appreciate the efforts some supporters go to in taking part in challenge events. However we do have some reservations. You must make it clear to anyone who is sponsoring you that this is what you intend to do. Also you must be realistic about the amounts you are aiming to raise compared to the cost of the trip. For example if the cost of the trip is £1000 and you raise £1500 it could be argued that you are benefiting more than the cause you are raising funds for.

Where do I send the money?
Please click donation for sending money.
